Exo Motion Pty Ltd (ABN 45 698 777 383) collects enquiry, registration and rental information so we can respond to customers, assess suitability, manage bookings, support venue operations and keep rental records. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

Information we may collect

This may include name, contact details, organisation, rental interest, location, registration details, waiver responses and operational notes needed to manage a rental or enquiry.

Health information

The online guest waiver asks participants to confirm basic health and fitness declarations (for example, ability to walk independently and absence of conditions that would make participation unsafe). This is sensitive information under the Privacy Act. We collect it only to assess suitability for a session, we do not use it for any other purpose, and we do not share it beyond staff and contractors directly involved in running the session, insurance claims, or as required by law.

How information is used

We use this information to respond to enquiries, arrange fitting or rental discussions, support venue partner workflows, manage safety and return records, process payments, and maintain business administration and insurance records.

Cookies and website data

The Exo Motion website may use essential cookies and similar technologies required for the site and booking forms to function, and may use analytics tools to understand website usage in aggregate. We do not use this data to build advertising profiles.

Data retention

We retain enquiry, registration, waiver and rental records for as long as reasonably necessary for the purpose they were collected, including to meet insurance, safety, incident-response and legal record-keeping obligations, after which records are deleted or de-identified where practicable.

Sharing and disclosure

We may share information with venue partners directly involved in delivering a session, with our insurer in connection with cover or a claim, with service providers who help operate our booking and website systems, or where required by law. We do not sell personal information.

You may request access to, or correction of, the personal information we hold about you, or ask us to explain how it has been used, by contacting us using the details below. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (OAIC).
